Document scanning
The process of converting text and graphic paper documents, photo's, microfilm or other files into digital images.Document scanning involves;
● Collection and delivery - can be arranged anywhere in the UK.
● Preparation - removal of file covers, staples, etc.
● Scanning - volume conversion of paper into digital images.
● Document storage - 30 days FREE to give you time to check.
● Document retrieval - if you need a document while it is in our care, we can retrieve it
and get it (or an electronic copy) to you.
● Secure destruction - If you wish the paper can be confidentially shredded, pulped and
recycled.
Data capture
Data capture may be as simple as keeping track of unique document identifiers; a simple file name, invoice number, or name. Indexing exists mainly to support retrieval of the right file.But often it takes a more complex form, providing classification through the documents' metadata (a number of key index fields) or even through word indexes extracted from the documents' contents.
SWM is also capable of extracting multiple data fields from structured forms, questionnaires, application forms, etc. Providing clients with the data they need to support their business processes.
Our digital mailroom and invoice processing services employ the latest optical character recognition (OCR) and intelligent document recognition (IDR) technologies to recognise document formats such as; an invoice, a CV, a form, a photo, a passport, a cheque. This enables classification and routing of documents, full text searches on electronic documents and/or extraction of key information, such as header and line items on invoices.

In the case of records stored in electronic format, a Court would need to be satisfied that the evidence is authentic, and organisations need to ensure they have procedures in place to prove the authenticity and reliability of the record.To help people comply, there is a British Standards Institution Code of Practice for Legal Admissibility of Information Stored on Electronic Document Management Systems (BIP 0008-1). If an organisation plans to do document scanning and then destroy original papers themselves, they should acquaint themselves with that Code, and follow it. If they outsource the task, they should ensure the contractor works to that Code. SWM does and is externally audited to that code of practice.
